Right to Work Checks & Worker Vetting

Every operative we supply is Right to Work verified, ID checked, CSCS validated, and reference screened before deployment. No exceptions.

Why Rigorous Vetting Matters in Construction

Construction sites are high-risk environments where every individual must be legally entitled to work, competent to perform their role, and properly identified. Failure to conduct adequate vetting exposes contractors to criminal prosecution, civil penalties of up to £60,000 per illegal worker, site shutdowns, and reputational damage that can exclude firms from Tier 1 supply chains.

Hard Hat Recruitment Agency records Right to Work and identity evidence and checks role-relevant competence cards before placement. Additional references, qualifications and site requirements are handled where the role or client requires them.

Our process is designed to support principal-contractor and supply-chain checks without implying approval by a named contractor. We maintain digital records of completed checks and make relevant compliance information available to authorised client contacts.

The payment arrangement varies by assignment and client. It is confirmed after an engagement-status assessment and may be PAYE, CIS or umbrella, with the deductions and entitlements that apply to that arrangement.

Our Six-Point Vetting Process

1. Right to Work Verification

Original documents checked against the Home Office approved list. Share codes verified through the Home Office online checking service. Three-step process: obtain, check, copy. Time-limited permissions flagged for follow-up checks before expiry.

2. Identity Verification

Government-issued photo ID verified in person. Cross-referenced against Right to Work documentation. Biometric checks where applicable. Photograph taken and stored securely against the worker's profile.

3. CSCS / Competence Card Check

CSCS, CPCS, ECS, JIB, and CISRS cards verified using Smart Check technology. Card number, expiry date, and qualification level recorded. Card type matched to role requirements — blue skilled, gold trade, black management.

4. Reference Screening

Minimum two employment references obtained covering the most recent 12 months. References verified by telephone where possible. Gaps in employment history investigated and documented.

5. Qualification & Training Verification

Trade qualifications (NVQ, City & Guilds) verified against awarding body records. Additional certifications checked: SMSTS, SSSTS, First Aid, asbestos awareness, manual handling. Specialist tickets verified: PTS for rail, CPCS categories for plant.

6. Induction & Briefing

Workers briefed on site-specific health and safety requirements. PPE standards confirmed. Emergency procedures communicated. Drug and alcohol policy acknowledged. Behavioural expectations set including punctuality, professionalism, and reporting obligations.

Personal data is processed only for legitimate employment and compliance purposes, and workers are informed of their data rights at the point of registration.

Frequently Asked Questions

We verify original documents from the Home Office approved list, including UK/Irish passports, biometric residence permits, share codes from the Home Office online service, and valid visa documentation. We follow the three-step check process mandated by the Home Office: obtain, check, and copy.

For workers with time-limited permission to work in the UK, we conduct follow-up checks before their permission expires. For those with indefinite leave to remain or British/Irish citizenship, an initial check establishes a statutory excuse for the duration of employment.

Yes. Every operative is CSCS-verified before being sent to any site. We check card validity, expiry dates, and ensure the card type matches the role being filled. We use the CSCS Smart Check app and cross-reference with the CSCS database.

If we cannot satisfactorily verify a worker's Right to Work or identity, they are not deployed. We maintain a zero-tolerance approach — no exceptions, no workarounds. This protects our clients from civil penalties of up to £60,000 per illegal worker.

Absolutely. We maintain comprehensive digital records of all vetting checks and can provide compliance packs to clients, auditors, and principal contractors on request. This includes Right to Work evidence, CSCS verification, ID copies, reference records, and training certificates.

DBS checks are not standard for most construction roles. The lawful level depends on the role and duties. We supply DBS checked construction workers for eligible work in schools, healthcare and other sensitive settings across England and Wales.
